What an auto responder means on Instagram
An auto responder sends a reply without you doing anything. On Instagram, that can happen in two places, and they need different tools. The first is your inbox: someone sends you a DM and gets an automatic answer. The second is your comments: someone comments under a post, and a tool answers publicly or privately. Instagram’s built-in features mainly deal with the first. Dedicated tools handle the second.
You need a professional account for most of this. Business and Creator accounts both work, and switching is free. If you have not switched, or are not sure which type to choose, read Instagram Business vs Creator accounts.
The built-in options
- Saved replies. Shortcuts for answers you type often. They are not automatic: a person still sends them, but they save a lot of typing.
- Frequently asked questions. Questions a person can tap when they open a chat with you, each with an answer you wrote.
- Instant replies. An automatic response to a first message, handled through inbox automation in Meta’s business tools.
- Away messages. An automatic response when you are not available, also through Meta’s business tools.
Exactly what you see depends on your account type, your app version and whether the account is connected to Meta Business Suite. Meta moves and renames these features fairly often, so if a menu is not where a guide says, search the settings or check the Instagram Help Center.
How to set up the free ones
- Open your profile’s settings and look for the section on business or creator tools, then saved replies and frequently asked questions.
- Create saved replies for your three most common answers, such as price, delivery and hours.
- Add frequently asked questions, and write the answers as if talking to one person.
- For instant replies and away messages, open the inbox in Meta Business Suite, connect your Instagram account and go to its automation settings.
- Message your account from a second account to see what a new customer sees.
What the built-in tools cannot do
- They do not respond to keywords in comments, which is how most Reels and post funnels work.
- They cannot send different answers depending on which post someone is responding to.
- They are limited in logic. An instant reply goes out the same way, whatever the person asked.
- They do little to help when a single post suddenly brings in hundreds of the same question.
If your questions arrive mainly by DM, and you get a manageable number, free tools may be all you ever need. Our comparison of free versus paid tools goes through that decision in more depth.
When to add a keyword-based responder
Add one when any of these become true. You ask people to comment a word on your posts. You lose track of “price?” comments on older posts. A Reel brings in more comments than you can answer. You want each post to deliver its own link. At that point you need a tool that watches comments through Meta’s official API.
A keyword responder posts your public reply and sends one private DM per comment, within Meta’s seven-day limit. The full method is in the Instagram comment auto-reply guide, and the Reels playbook covers the most common use. For conversations that need more back and forth, read what Instagram chatbots do.
Using them together
The tools complement each other. A sensible setup for a small business looks like this:
- An instant reply greets new DMs, and an away message sets expectations outside business hours.
- Frequently asked questions cover the basics when someone opens a chat.
- Saved replies help a person answer quickly once the conversation is underway.
- Keyword rules on your best posts handle comments, delivering the right link for each.
- A person takes over for anything sensitive, unusual or close to a sale.
That leaves you answering the conversations that actually need you. If you are curious what it costs to leave questions unanswered, our missed messages guide runs the numbers.
Example wording you can adapt
Instant reply: “Thanks for messaging us. We answer personally between 9 and 6, Monday to Saturday. In the meantime, our prices and booking link are here: [link].”
Away message: “We are closed right now and will reply when we open at 9. If you are booking, you can pick a time here without waiting for us: [link].”
Saved reply: “Yes, we deliver to your area. Orders placed before noon usually go out the same day. Would you like the link to order?”
Each one tells the person what happens next and gives them something useful right away. Replace the details with your real hours and links, and promise only what you can actually do. Review them whenever your hours or prices change, because an out-of-date automatic reply does more harm than none at all.
Read each message aloud before you save it. If it sounds like something you would never say to a customer at your counter, rewrite it until it does, and keep it short enough to read comfortably on a phone screen without any scrolling.
